Job Description: 
Lead is now hiring a detail-oriented and organized Construction Administrative Assistant to support our construction team. This role is essential in ensuring the smooth operation of our projects by managing documentation, coordinating communications, and providing administrative support specific to the construction industry. This is a temporary to permanent position. 
 
Key Responsibilities:
  1. Project Documentation:
    • Prepare, organize, and maintain project files, including contracts, blueprints, and specifications.
    • Assist with the preparation and submission of bids, proposals, and change orders.
  2. Administrative Support:
    • Provide administrative support to project managers and site supervisors, including scheduling meetings and coordinating project timelines.
    • Generate and distribute reports on project progress, budgets, and timelines.
  3. Communication Coordination:
    • Act as a point of contact for clients, subcontractors, and vendors, ensuring timely and effective communication.
    • Assist in resolving issues and facilitating communication between team members and stakeholders.
  4. Data Management:
    • Input and maintain project-related data in software systems and databases.
    • Track project milestones, budgets, and deadlines to ensure adherence to schedules.
  5. Office Management:
    • Order and maintain office supplies and equipment, ensuring all materials are available for the construction team.
    • Assist with the preparation of safety documentation and compliance materials.
  6. Support Site Operations:
    • Coordinate logistics for site visits, including arranging travel and accommodations for staff, as necessary.
    • Help manage on-site documentation, ensuring all necessary permits and inspections are recorded.
Qualifications:
  • High school diploma or equivalent; associate degree in business administration or related field preferred.
  • Previous experience in an administrative role, ideally within the construction or related industry.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with construction management software.
  • Strong organizational and multitasking abilities.
  • Excellent verbal and written communication skills.
  • Ability to work both independently and collaboratively in a team environment.
  • Attention to detail and problem-solving skills.
