Responsible for performing various duties in ensure the Finance Team has the resources necessary to maximize and claim all government awards and grants in an effective manner; including managing the documentation requirements and invoice process for all applicable grants, managing incoming and outgoing correspondence, and records.
Principal Duties and Responsibilities:
Manage documentation requirements and invoice process for government and private sector incentives and grants
Prepare work instructions for the documentation and invoicing requirements by program.
Prepare required documentation and submit required invoices to each agency.
Engage with outside consultants to update status of grants (Amounts authorized vs. amounts requested vs. amounts paid)
Maintain documentation and invoice tracking
Main point of contact for Invoice reconciliations and audits by each grant agency
Manage Grant Records and record storage
Organize and maintain Grant File records
Manage onsite/offsite storage process
Incoming and Outgoing Mail
Collect mail that comes to Finance department mailstop, sort and determine proper recipients. Distribute to team members or send by interoffice mail to correct departments.
Prepare certified forms for outgoing certified mailings and hand carry it to post office to obtain date stamped receipts for compliance
Assist Finance Lead and other team members with other duties and projects

Strong PC skills with an intermediate knowledge of Microsoft Excel
Education/Experience Requirements
An Associate’s Degree in Accounting or other business field is preferred. 2+ years of experience in a clerical/clerk role within a finance/accounting function, or equivalent combination of education and experience
