Boutique wealth advisory firm located in Manhattan is seeking to hire a Temp to Perm Office Manager/Administrative Receptionist. This position will start early next week, require 5 days in office. Monday – Friday, 9:00am-5:00pm, availability for OT as needed.
Responsibilities:
- Greet guests (offer refreshments, escort guests to the conference room as needed).
- Answer and direct all incoming calls.
- Order group lunches.
- Restock the kitchen throughout the day; load and unload the dishwasher.
- Clean up after client / firm meetings, wipe down the conference room tables, and get conference rooms ready for the next meeting, including having A/V equipment ready.
- Order office supplies.
- Coordinate holiday parties and firm outings.
- Make travel arrangements as needed.
- Maintain out-of-office/conference room calendar.
- Sort mail.
- Scan incoming checks and confirm receipt with clients.
- Scan documents into Laserfiche – incoming correspondence and any hard copies provided by PM teams.
- Handle outgoing distribution of mass mailings and one-off mailings (USPS, FedEx, fax).
- Process account changes in various systems once paperwork comes in.
- Contact information/changing delivery method/address changes (ad-hoc & alerts).
- Upload documents to the client portal or resend to clients as needed (1099s, monthly statements, YE reports, etc.).
- As tasks are mastered, other projects of increasing responsibility will be assigned.
Required:
- 2+ years experience working in administrative role / corporate setting
- Extremely reliable and detail-oriented.
- High level of organization with the ability to multi-task and prioritize.
- Ability to work well under time pressure and independently.
- Excellent personal work habits, initiative, character, and dedication to the firm’s core values of integrity, commitment, respect, and innovation.
- Strong computer skills and aptitude for technology, including Microsoft Office systems (Excel, Word, PowerPoint, etc.), Adobe Acrobat, etc.
- Ability to have conference rooms ready for meetings with A/V set up, etc., once trained.
- Strong interpersonal skills with the ability to interface with multiple teams and individuals at all levels.
- Excellent written and verbal communication skills.
- Forward thinking, taking the initiative on tasks they can handle without being asked to do so
Compensation/Benefits:
- DOE 50K-80K perm base + OT + bonus
- PTO (17 days to start) , 401K, medical, dental vision
