Team Secretary / Co-ordinator

We are supporting our client, a major Financial Services firm with offices in the City of London, in their search for a number of Team Secretaries to join them in their Equity department. Co-ordinating for a variety of managers and analysts within the department, your secretarial skills and ability to manage a variety of workloads simultaneously will ensure the ongoing success of the department.
In this role you will be primarily maintaining various busy diaries for the Equity team, ensuring that necessary documentation is always to hand whilst also recording important information into the business’s HRIS as required. Between managing complex diaries and the overall office, you’ll be sure to be kept busy in this role as you liaise with various members of the team. Strengthening their diaries as well as building up relationships with each individual, you will be able to keep on top of sometimes rapidly shifting schedules and a fast-moving business, all while keeping on top of your own administrative functions.
Some of your day-to-day responsibilities will include:
- Maintaining various diaries for a variety of individuals, co-ordinating between them as required
- Organising meetings internally for the department whilst managing various communications (telephone and email) for certain individuals as required
- Researching and reporting into various matters as required
- Preparing information for presentations, distributing as needed
The right person for this role will be able to organise themselves efficiently, self-motivating to take on various tasks in order to maintain the performance of the business. An ability to quickly adjust to the needs of individuals within the business, and adapt their day as well as the diaries of their colleagues, will prove advantageous in this role – prior experience in a Team Secretary or Co-ordinator role will therefore be particularly useful in this position. Microsoft Office knowledge required.
