Our client, a non-profit organization located in Boston, MA, is seeking an Executive Assistant to provide executive-level administrative support to 3 Senior Directors. This person will work hand in hand with the Sr. Director of Talent, Equity & Belonging on Diversity, Equity & Inclusion & Belonging initiatives & Human Resources projects to help the organization of a growing team. Along with administrative logistical responsibilities (e.g., correspondence, organizing, scheduling), this person will help project manage confidential internal projects, write and edit memos, and work efficiently in a team atmosphere.

Pay: Up to $28/hr depending on previous experience
Hours: Monday-Friday. 8:30-4:30 or 9:00-5:00

RESPONSIBILITIES:

* Schedule meetings and calls in a timely manner
* Ensure executives have relevant materials/briefings needed in advance of each meeting/discussion
* Oversee logistics, including catering and materials, for in person meetings quarterly
* Monitor email messages, alerting executives to time-sensitive or important calls, referring others to key staff as appropriate, and returning calls/messages to respond on executives’ behalf or to find out in greater detail the purpose of the call
* Provide initial responses to invitations and other high priority communications, providing recommendations to the executives as to availability and other competing pressures
* Coordinate internal and external resources to ensure that projects adhere to scope, schedule, and budget
* Schedule all travel logistics (flights, car rentals, hotels etc.)
* Ensure travel charges are assigned to correct departments, submit travel and accommodation expenses internally and externally in a timely manner
* Maintain electronic files of all organizational wide messages, speeches, talks and presentations
* Undertake various writing tasks, such as drafting correspondence, memos, etc. as needed

QUALIFICATIONS:

* Exceptionally organized with strong attention to detail
* Strong written, verbal and interpersonal communication skills
* Ability and excitement to work independently as well as within a team
* Excellent follow-up and follow-through skills in a deadline driven environment
* Ability to work with people who have different work styles
* Able to anticipate needs before they arise (i.e., manage up)
* Able to take initiative
* Demonstrated ability to work in multicultural environments with flexibility
* A bachelor’s degree or equivalent professional work experience in a related field or position
* Proficiency in Microsoft Office, web, and databases (e.g., experience with NetSuite/Suite People or Salesforce desirable, but not required)
